Matrix Gateway is a technical gateway service used to connect WhatsApp Cloud API integrations with authorized business systems. The service is intended for authorized business clients only and is not a public consumer-facing application.

2. What Data We Collect
Matrix Gateway may collect and process the following categories of data as part of its technical gateway operations:
- Business account information, including WhatsApp Business Account ID and related business identifiers.
- WhatsApp phone number information, including Phone Number ID and display phone number.
- Message metadata received through Meta Webhooks, such as message IDs, timestamps, sender and recipient phone numbers, delivery status, and read status.
- Message content only when required to route the message, process the request, generate or deliver a response, or provide support and troubleshooting.
- Connection and onboarding data generated through Meta Embedded Signup, including business ID, WABA ID, phone number ID, display phone number, connection status, and related technical payloads.
- Portal account information, such as user name, email address, company name, role, login status, and client association.
- Technical logs required for security, diagnostics, error tracking, service monitoring, and operational support.
Matrix Gateway does not intentionally collect sensitive personal information unless such information is included by a user or business contact within a WhatsApp message.
3. How We Use the Data
Matrix Gateway uses the collected data only for the purposes required to operate, secure, and support the service, including:
- Connecting authorized business clients to Meta WhatsApp Cloud API.
- Receiving WhatsApp webhook events from Meta.
- Routing inbound WhatsApp messages to the authorized business system.
- Sending replies and approved outbound messages through Meta WhatsApp Cloud API.
- Displaying connection status, phone number status, and review status inside the client portal.
- Creating and maintaining technical records related to onboarding, message routing, delivery status, and service operation.
- Troubleshooting errors, monitoring system performance, and improving service reliability.
- Preventing unauthorized access, abuse, fraud, or misuse of the service.
- Supporting compliance with Meta, WhatsApp, and applicable business messaging policies.
Matrix Gateway does not use WhatsApp message data for advertising, profiling, or selling user information.
4. What We Do Not Do
Matrix Gateway is designed only to provide technical connectivity and message routing for authorized business clients.
We do not:
- Sell personal data or business data.
- Use WhatsApp message content for advertising or marketing profiling.
- Share WhatsApp message content with unrelated third parties.
- Publicly display access tokens, app secrets, verification tokens, or environment keys.
- Store Meta access tokens, authorization codes, or app secrets in plain public pages or client portal screens.
- Allow public users to create accounts or use the service without authorization.
- Use the service to send unauthorized, misleading, abusive, or policy-violating messages.
Any use of Matrix Gateway must comply with Meta, WhatsApp, and applicable messaging policies.
5. Data Sharing
Matrix Gateway shares data only when necessary to operate the service or comply with applicable requirements.
Data may be processed or transmitted through:
- Meta and WhatsApp Cloud API, for receiving webhook events and sending WhatsApp messages.
- Matrix Clouds servers and infrastructure, for operating the gateway, portal, routing logic, logs, and administrative functions.
- Authorized business systems connected to Matrix Gateway, for routing inbound messages and delivering responses.
- Hosting, security, monitoring, and infrastructure service providers used to operate and protect the service.
- Legal, regulatory, or compliance authorities if required by applicable law or valid legal process.
We do not sell data or share WhatsApp message content with unrelated third parties for advertising or marketing purposes.
6. Data Retention
Matrix Gateway retains data only for as long as necessary to operate the service, provide support, maintain security, comply with applicable requirements, and keep accurate technical records.
Retention periods may vary depending on the type of data, including:
- Account and client portal data is retained while the client account remains active.
- WhatsApp connection and onboarding records may be retained while the related business integration remains active.
- Message routing logs, webhook events, delivery status records, and technical logs may be retained for operational, security, troubleshooting, and audit purposes.
- Data related to disabled or disconnected integrations may be retained for a limited period where required for security, legal, accounting, or compliance reasons.
When data is no longer required, Matrix Clouds may delete, anonymize, or securely restrict access to it.
Clients may request deletion or disconnection by following the instructions available on the Data Deletion page.
7. Data Security
Matrix Clouds applies reasonable technical and organizational measures to protect data processed through Matrix Gateway.
These measures include:
- Using HTTPS for secure communication.
- Restricting administrative access to authorized personnel only.
- Separating client access through authenticated portal accounts.
- Avoiding public display of access tokens, app secrets, verification tokens, or environment keys.
- Storing sensitive configuration values through protected server environment settings where applicable.
- Limiting access to logs and technical records to operational and support purposes.
- Monitoring the service for errors, abuse, unauthorized access, and security-related events.
Although we take reasonable steps to protect data, no internet-based service can be guaranteed to be completely secure.
8. Client Rights and Choices
Authorized clients may request to access, correct, update, disconnect, or delete data associated with their Matrix Gateway account or WhatsApp integration, subject to applicable legal, security, and operational requirements.
Clients may request:
- Access to information related to their connected WhatsApp integration.
- Correction of inaccurate client or connection information.
- Disconnection of a WhatsApp number or business integration.
- Deletion of eligible account, connection, or technical records.
- Restriction of access to inactive or disabled integrations.
Some records may need to be retained for a limited period where required for security, fraud prevention, legal compliance, audit, or dispute resolution purposes.

9. Data Deletion
Clients may request deletion of eligible data associated with their Matrix Gateway account or WhatsApp integration.
Deletion requests may include:
- Client portal account data.
- WhatsApp connection records.
- Embedded Signup attempt records.
- Gateway number configuration records.
- Message routing logs and webhook event records, where deletion is permitted.
- Technical records that are no longer required for service operation, security, legal, or compliance purposes.

Requests should include the client name, business name, connected WhatsApp number, and a clear description of the data deletion request.
Matrix Clouds may need to verify the requester’s authority before processing the request. Some records may be retained where required for legal, security, audit, fraud prevention, dispute resolution, or compliance purposes.
